Fall Team FAQ
Q. I don't have a SwimTopia password. How can I log in?
A. You will receive an email from SwimTopia after registration, with instructions for activating your account and creating a password.
Q. How do I change my account information (email, phone number, etc.)?
A. In the upper right corner of the screen (after logging in) you will see a box which says "Welcome [your name]". Hover on this then click on "My Account". You can change your address and passwords here. If you wish to change any other account information, please contact [email protected].
Q. What equipment/swimsuit do I need?
A. Swimmers can wear any appropriate swimsuit for practice (no bikinis or super baggy swim trunks). We have a new team swimsuit which can be purchased from our Cool Sharks swimsuit vendor (see information HERE). If you have the old team swimsuit from summer you are welcome to continue wearing that one while it still fits! We will have a swimsuit fitting on Aug 3rd 8:00-10:00am, where you can purchase team suits, goggles, team t-shirts, etc. and also pick up a team cap if you need one. For fall league a team suit is optional for the meet but not necessary - feel free to wear any solid black or black & blue suit, or a suit of your choice. Swim caps are optional during practice but swimmers should wear a Cool Sharks cap for the meet (we will have these available at the meet for new swimmers or you can pick one up at the fitting). All swimmers should wear goggles for practices and meets.
Q. Will practice be cancelled if it's raining? How will I know if practice is cancelled?
A. We will still swim in the rain! Unless there is thunder or lightning or heavy rain at the pool, practices will go on as usual. If practice is canceled, you will receive a notification through SwimTopia (be sure to download the app and enable push notifications, otherwise you will get an email). Q. Now that meet attendance is an expectation for the Cool Sharks, does this mean we are required to attend the End-of-Season Meet?
A. The Cool Sharks are a competitive swim team not a lessons program. Attendance at the fall meet is not required but is expected for all swimmers who are in town and don't have a major conflict with another activity.
Q. How do I sign up for the meet?
A. Signup deadline is 12:00 noon the Tuesday before the meet (9/3). You will not be able to enter your swimmer or make changes after this deadline. Please sign up as early as you can. You can always go back in and edit if your plans change any time before the deadline.
Log in to the website. Under the Meets & Events tab, select "Meet/Event Calendar" (or click HERE). Click the green MEET ENTRY tab, and then click the Edit tab under your athletes' names. For each of your athletes, select an option from the drop down list next to their names: Attending or Not Attending. You may select up to two individual event requests by checking the box next to the event. If your child does not have a preference, simply leave the event selections blank and the coaches will place your child in the appropriate events. Specify your swimmer's availability for relays from the drop down options. Add a note for the coach if needed. Include arrival or departure time if arriving late or leaving early. Click Save to record your choices.
Q. What should I do if I am going to be late to (or need to leave early from) the meet?
A. When signing up for the meet, you will be able to leave a note for the coach - please give an estimated arrival/departure time if you know it. Please also use the relay availability prompt to let us know if you will not be available for early or late relays. Please do this before the deadline if at all possible. When communicated early, the coaches can adjust your swimmer's entries so he/she won't miss their events. Even if communicated after the deadline, at least we can arrange a substitute swimmer so our team won't lose points at the meet. After the deadline, you will be unable to make changes online and will need to email Coach Rebekah ([email protected]).
Q. How do I sign up to volunteer?
A. Log in to the website. Login is found in the upper right hand corner of the screen. If you can’t remember your password, click "Forgot your password" to reset your password. Under the Meets & Events tab, select "Meet/Event Calendar". Select a meet or event. Click the green JOB SIGNUP tab and sign up for volunteer shifts (note one parent may sign up both parents for jobs -- scroll down and you’ll see the other parent listed). Click Save Assignments.
Q. How do I change/view/cancel my volunteer signup?
A. At any time before the day of the meet you can go back into the job signup for the meet to remove yourself or change to another available job. On meet day you will need to contact [email protected].
Q. What time should I arrive for the meet?
A. Swimmers should arrive by 7:20 a.m. Volunteer arrival times vary - please see your shift for your start time.
Q. Where will I go to check in for the meet?
A. Swimmers should go directly to their bullpens where a bullpen parent will check them in. Parents who are volunteering should check in at the volunteer table.
Q. What happens after the meet?
A. Results will be posted a day or two after the meet. Ribbons will be available shortly after the meet - they will be in your file folder at the top of the stairs in the pool house. Every swimmer should have a ribbon for every event. Please email [email protected] if you are missing any ribbons.
Q. Are results from the Fall Meet official and do they count toward team records?
A. Results from the Fall Meet are considered unofficial for team records. However, they will be part of a swimmer's time history and can be used for seeding in future seasons.
